Project Management – Delivery of XX Commonwealth Games Queen’s Baton Relay visit to Suffolk

The brief:
To provide project management support services for the organisation of the Commonwealth Games Queen’s Baton Relay visit to Suffolk in June 2014.
The work:
After successfully bidding to host the Commonwealth Games Queen’s Baton Relay, Suffolk County Council appointed Bavester Associates in January 2014 to provide support to the Most Active County Project Manager in the planning and delivery of the visit. Bavester Associates supported the:
Establishment of a county level steering group and locally led planning groups for each of the main visit locations
Liaison with the Commonwealth Games England relay planning team
Development of a full project plan to manage the visit planning process
Development and delivery of a schools engagement programme
Development and administration of a small grants scheme to support local communities
Development of a communication and PR plan
Provision of support to delivery partners including the production of templates for event production schedules, event management plans, risk assessments and briefing documents
Briefing of videographers and photographers
On the ground support to the Commonwealth Games Baton Relay security and delivery teams
The outcome:
The successful delivery of an ambitious programme, which involved the longest distance travelled by the Baton in an English County in one day. The baton visited 5 events involving 18 sports, 350 volunteers, 3,000 people getting active and 6,000 spectators with media coverage that had an audience reach of over 3 million people. Over 100 Suffolk Schools took part in the ‘Suffolk Celebrates’ Schools Programme and 600 local residents and 50 volunteers took part in small local events funded through the small grants programme.
